Terms and conditions

1. Introduction

Welcome to Botes Safaris, your premier African safari and travel specialist. By booking any safari or travel package with us, you agree to the following Terms and Conditions. These outline your rights, responsibilities, and obligations, as well as those of Botes Safaris. Please read them carefully.


2. Booking and Payment

2.1 Booking Confirmation

All bookings are subject to availability and are only confirmed once a 30% non-refundable deposit has been received.

2.2 Final Payment

The remaining balance must be paid no later than 60 days before the scheduled safari departure date.

2.3 Short-Notice Bookings

Bookings made within 60 days of departure must be paid in full at the time of booking.

2.4 Payment Methods

Payments may be made via:

  • Bank transfer

  • Credit or debit card

  • Approved online payment channels

All bank charges, card fees, or transfer fees are the client’s responsibility.


3. Cancellation and Refund Policy

3.1 Cancellation Fees

Cancellations must be submitted in writing and will incur the following charges:

  • More than 60 days before departure: Loss of deposit

  • 31–60 days before departure: 50% of the total cost

  • 30 days or less before departure: 100% of the total cost

3.2 Non-Refundable Services

No refunds will be issued for:

  • Unused services

  • Late arrivals

  • Early departures

  • Portions of the safari not used by the client


4. Travel Insurance

4.1 Mandatory Cover

Comprehensive travel insurance is mandatory for all clients. It must cover:

  • Medical emergencies

  • Evacuation

  • Trip cancellations

  • Lost baggage

  • Personal liability

4.2 Proof of Insurance

Clients must provide proof of valid travel insurance at least 14 days before departure.


5. Health and Safety

5.1 Client Responsibility

Clients are responsible for ensuring they meet all required health conditions, including vaccinations and medications recommended for travel in Africa.

5.2 Disclosure

Clients must disclose any medical conditions, allergies, or dietary requirements prior to booking.


6. Visas and Documentation

6.1 Required Documents

Clients are responsible for obtaining all necessary travel documents including:

  • Passports (valid for at least 6 months beyond the travel date)

  • Visas

  • Permits

  • Vaccination certificates (where required)

6.2 Botes Safaris Liability

Botes Safaris is not responsible for delays, denials, or additional costs arising from incorrect or incomplete travel documentation.


7. Itinerary Changes

7.1 Flexibility

Every effort is made to follow the agreed itinerary; however, Botes Safaris reserves the right to make changes due to unforeseen circumstances such as:

  • Weather

  • Road conditions

  • Park regulations

  • Safety considerations

  • Wildlife movements

  • Flight changes

7.2 Service Adjustments

If adjustments are required, alternative arrangements of equal value will be made whenever possible.


8. Liability

8.1 Third-Party Providers

Botes Safaris acts as an agent for lodges, camps, transfer companies, airlines, and activity providers. We are not liable for:

  • Injury

  • Loss

  • Damage

  • Delays

  • Service failures caused by third-party operators

8.2 Participation at Own Risk

Clients participate in safari activities at their own risk. Botes Safaris is not responsible for any accidents, injuries, wildlife interactions, or property loss during the trip.


9. Behavior and Conduct

9.1 Respect for Nature and Culture

Clients are expected to respect:

  • Wildlife

  • Local communities

  • Staff

  • Fellow travelers

9.2 Misconduct

Any behavior deemed dangerous or inappropriate may result in immediate removal from the safari without refund.


10. Force Majeure

Botes Safaris is not liable for delays, cancellations, or service disruptions caused by events outside our control, including:

  • Natural disasters

  • Pandemics

  • Political unrest

  • Flight cancellations

  • Weather conditions

  • Government regulations

  • Other force majeure events


11. Governing Law

These Terms and Conditions are governed by the laws of the country in which the booking is processed. Any disputes will fall under the jurisdiction of the courts in the relevant region.


12. Acceptance of Terms

By booking any safari, activity, or service with Botes Safaris, you acknowledge that you have read, understood, and accepted these Terms and Conditions in full.
